How to prepare and submit an archival recording

An archival recording may be required as a condition of consent before approved changes can be made to a State Heritage Register listed item.

 

We have developed a new guideline and procedure for preparing and submitting archival recordings.

How to prepare an archival recording

Typically, an archival recording is made up of a photographic representation of the heritage item, accompanied by base plans and an explanatory report. In the past these were often printed documents. We now request archival recordings in digital format only, as a combined PDF file.

What format should an archival recording be recorded in?

Archival recordings must be prepared according to the format outlined in the  Guidelines for preparing archival recordings of heritage items as a condition of consent.

We no longer accept archival recordings as hard copies, emailed copies or digital copies on a USB or hard drive.

Archival recording files cannot exceed 249MB in total. File sizes larger than this and folders in .zip format cannot be accepted.

How to submit an archival recording to Heritage NSW

Archival recordings that are part of a condition of consent must be submitted online via the Heritage Management System.

 We will contact you in writing if you are required to submit an archival recording as a reportable condition of consent.

To upload your archival recording:

  • log in to the Heritage Management System
  • search for the dashboard and open the tab ‘my conditions’
  • you will see your invitation and upload your archival recording here.

Keep a copy of your original photographs and files, for future reference and in case they are requested for further clarification after the receipt of the archival recording file.
